I aim to collect only the information that is reasonably necessary for the particular purpose.

How I collect information

I may collect information:

  • during meetings or Zoom calls
  • through contracts, agreements or other documents
  • when you attend an event, workshop, training session or other activity
  • through the delivery of professional services
  • from an organisation commissioning services in which you are participating

How I use your information

  • provide consultancy, facilitation, training, coaching, therapy, workshops and other professional services

  • fulfil safeguarding and professional responsibilities

I do not sell personal information.

Lawful bases for processing

UK data protection law requires a lawful basis for processing personal information.

Depending on the circumstances, I may process your information because:

  • it is necessary to fulfil a contract or agreement with you
  • I have a legal obligation to process or retain particular information

Information relating to therapy and other confidential professional work

Some of my work involves confidential one to one professional relationships.

Additional information about confidentiality, record keeping and the particular arrangements applying to therapy will be provided directly to therapy clients as part of the therapeutic agreement and client information process.

Therapy notes are handwritten and stored securely in locked storage. They are not routinely stored electronically or in cloud storage.

Working with organisations

Where an organisation commissions me to provide consultancy, facilitation, training, coaching or another service, I may receive limited personal information about employees, participants or other people involved in the work.

I will use this information only as reasonably necessary to organise and provide the agreed service or for another clearly stated purpose.

Information disclosed by an individual during confidential coaching or therapeutic work will not ordinarily be disclosed to the commissioning organisation simply because that organisation is paying for the service.

Where a commissioning organisation requires reporting or evaluation, the nature and boundaries of that reporting will be made clear where appropriate.

Email

I currently use Gmail and Hostinger email services.

Emails may contain personal information including names, contact details, correspondence and information relating to services.

Although reasonable precautions are taken, ordinary email cannot be guaranteed to be completely secure. Please consider this before sending particularly sensitive information by email.

Video meetings

I use Zoom for some meetings and online sessions.

Zoom processes information required to provide its service, which may include account, device, connection and meeting information.

Meetings and sessions are not routinely recorded.

If there is a reason to record a particular meeting, workshop or session, this will be discussed in advance and appropriate agreement or consent obtained.

Electronic documents and cloud storage

Electronic contracts, agreements and other business documents may be stored using Apple’s iCloud service.

Access to electronic information is restricted and appropriate security measures are used.

Some technology providers operate internationally. This means that information may sometimes be processed outside the UK.

Where this occurs, I rely on the arrangements and safeguards required under applicable UK data protection law.

Invoicing and financial information

I use Wave to create and manage invoices.

Information processed for this purpose may include your name, organisation, email address, services provided, invoice information and payment status.

Financial information is retained where necessary to comply with tax, accounting and other legal obligations.

Other organisations and service providers

I use a limited number of third party services to operate the business.

These currently include services provided by:

  • Google, including Gmail
  • Hostinger, including website hosting and email
  • Zoom, for online meetings
  • Apple, including iCloud
  • Wave, for invoicing.

These organisations have their own responsibilities regarding the information they process.

I periodically review the services I use and may change providers. This Privacy Notice will be updated where a change materially affects how personal information is handled.

Sharing information

I do not routinely share personal information with third parties.

Information may be shared where reasonably necessary with:

  • service providers supporting the operation of the business
  • professional supervisors where relevant to my professional practice
  • accountants, insurers, legal advisers or other professional advisers where necessary
  • organisations or individuals where you have asked or agreed that information may be shared
  • safeguarding, health or emergency services where appropriate
  • regulatory or statutory bodies where required
  • law enforcement agencies, courts or other authorities where disclosure is legally required.
  • Where information needs to be shared, I aim to disclose only what is reasonably necessary for the purpose.

Marketing

I will only send direct electronic marketing where there is an appropriate lawful basis for doing so.

Where you have signed up or consented to receive marketing communications, you can unsubscribe or withdraw your consent at any time.

Service communications, such as information about an existing booking, appointment, contract or commissioned piece of work, are not marketing communications.

Photographs, recordings and testimonials

I will not use an identifiable photograph, recording, testimonial or case study for promotional purposes without an appropriate basis for doing so.

Where consent is required, I will explain how the material is intended to be used and seek that consent before publication.

How long I keep information

I do not keep personal information indefinitely.

Different information needs to be retained for different periods depending on why it was collected and any professional, legal, insurance, financial or regulatory requirements that apply.

Financial and accounting records are retained for the period required by law.

Client and professional records are retained for an appropriate period having regard to the nature of the work, professional responsibilities and insurance requirements.

Information relating to enquiries that do not result in work will be deleted when there is no longer a reasonable business or legal reason to retain it.

Information will be securely deleted or destroyed when it is no longer required.

Keeping information secure

I take reasonable organisational and technical measures to protect personal information against loss, misuse, unauthorised access, disclosure or alteration.

Measures include:

  • secure physical storage for paper records
  • password protected electronic systems and devices
  • restricted access to client and business information
  • appropriate security measures for cloud based services
  • limiting the amount of personal information collected and retained.

No electronic system can provide an absolute guarantee of security, but I take reasonable steps proportionate to the information I hold.
